Job Description

Reports to: Director of Athletics at Loretto Academy Position Summary The Assistant to the Athletic Director supports the overall operation and administration of the school’s athletic programs. This role ensures that daily athletic functions run smoothly by assisting with scheduling, communication, event coordination, equipment management, and compliance with school and league policies. The assistant works closely with coaches, athletes, parents, and administrators to promote a positive, organized, and student‑centered athletic experience. Key Responsibilities Administrative & Office Support Maintain and organize athletic department files and records such as TAPPS forms and physicals Help prepare rosters and eligibility lists Assist organizing and documenting coaches’ meetings Provide administrative support to coaches (rosters, travel forms, copies, etc.) Event Management Assist with scheduling practices utilizing SportsU Communicate scheduling updates to coaches, parents, and staff in real‑time Schedule student volunteers for athletic events Help organize team picture days, awards ceremonies, and athletic banquets Assist with admissions events, open houses, and ambassador program Support school event logistics and operations (including after school and weekend events) Assist the AD in reserving facilities needed for events both internally and by coordinating required communication for reserving facilities off campus Communication & Promotion Coordinate with the advancement team for social media and website updates Create flyers, announcements, and promotional materials for games/events Help prepare newsletters or updates for parents and the school community Manage inventory of uniforms, equipment, and supplies needed Preferred Qualifications & Requirements Experience in K‑12 education is a plus; first‑hand knowledge of school organization and sportsʼ team management is highly preferred Strong organizational and time‑management skills, with attention to detail, are required Proficient with Microsoft Office, Apple programs, or scheduling software and willingness to continue learning is a must Must be able to work evenings and weekends; a flexible schedule is highly preferred as some events take place after school hours Reliability and ability to work across departments to facilitate events, marketing, and growth of the program is required The ideal candidate is looking for a part‑time position, with flexible hours, in a dynamic K‑12 school setting working closely with their supervisor, coaches, and students. He or she is excited about being part of a team that is building a stronger athletic program for students across the board and ensuring students can participate in sports and grow holistically at Loretto Academy.
